Features
Rules the system enforces, not just records it keeps
A form that anyone can edit later is not a control. In VeniXtus QMS the important rules are applied on the server, so they hold whoever is logged in and however the screen is used.
Approvals
The person who wrote it does not approve it
Approvals need someone other than the author, the requester or the lead. If a company really has only one eligible person, the exception is allowed but recorded on the record.
- Role-based access: Admin, Quality Manager, Approver, Department Manager, Auditor, Employee
- Approved records are locked; a change is a new revision with the old one kept
- A permanent history of who did what and when, which cannot be edited
- Evidence files attached with a fingerprint so tampering can be detected
Audits, CAPA & risk
From finding to verified closure
Audit findings flow into corrective and preventive actions and risks, and surface in management review.
- Audit planning, checklists, findings, evidence and e-signatures
- CAPA with root cause, effectiveness check and independent closure
- Risk and HIRA with a 5ร5 matrix, controls and residual risk
- Management review with a frozen report and tracked actions
Health & safety
Permits, contractors and critical controls
Occupational health and safety records that stay tied to the people and controls involved.
- Permits to work with dual sign-off and gas test readings
- Contractor compliance, inspections and critical control checks
- Incident and emergency records
- Evidence photos and certificates attached to the record
Food safety & supply chain
HACCP, allergens, suppliers and recall
Food safety controls, supplier approval and traceability in one place.
- HACCP monitoring and deviations
- Allergen products, incidents and controls
- Supplier approval, certificate expiry and corrective requests
- Batch traceability, mass balance and recall records
Regulated work
Regulatory reporting, validation and design control
Controlled workflows for work that auditors and regulators look at closely.
- Regulatory reporting: reportability decision, deadline clock, submissions and acknowledgements. Built-in deadlines follow SAHPRA guidance; other authorities use a due date you set
- Validation & qualification: protocol approved before execution, step-by-step results, deviations, a separately approved report and a separate release decision
- Design & development: approved plan, locked requirements and outputs, traceability to verification, design reviews and design changes tied to Change Control
What it does not do
Honest limits
The platform records who approved what and when. It cannot judge whether a design is safe, a test was adequate, or a regulatory submission is required, and it does not make a business compliant or certified. Those decisions stay with your competent people.
